How to enter activation code to convert from demo to live program

How to set my preferences in the Easy HUD program

Click on the “Case Management” tab and then “My Settings.”  The following preferences can be set:

  • Easy HUD Database Location - Use this area to select a spot where the database location will be. In a network situation, make a shared folder on the server and set database location to that folder.
  • Default File Save Location - Use this setting to point to a folder where you always want to save or open your HUD files. In a shared network environment, you can point to a common folder on your server so other HUD users can access all the HUD files.
  • Default Jurisdiction: Set your default calculations for state charges. Jurisdiction can be changed in individual files as well.
  • 901 Proration Setting - You can set Proration to calculate for the last day of the settlement month or the first day after the settlement month, whichever you prefer.
  • Default Template Location - With the new Easy HUD 2.0, you can start from templates you created. Use this to select a directory where you'd like to store your templates. You can even set the default to a shared folder on your server to allow other HUD users to access the templates.
  • Default Purchase/Refinance Templates - Always use these settings to start with a specific template each time you launch the program.
  • Default Check Style - Set your default check style (Check, stub, stub) or (check, check, check).
  • Checks - Print additional information - Choose either Buyer/Seller information, Payee address or None.
  • Enable EasyOnlineClosing - Easy HUD 2.0 now allows you to order title insurance right from within the program. If you are still faxing or emailing title orders, take advantage of this great new feature. If you don't see your title company listed, let them know, or let us know at Easy Soft.
  • Easy HUD launch tab - Choose either refinance or purchase.

How to prepare closing ledger (Money in/out sheet)

Complete your purchase or refinance form by filling in information on appropriate lines.

  1. Mark appropriate line items “Netted” if they are pre-disbursed by the lender.
  2. Keep an eye on “Lender Worksheet” available under “Functions” button. If the net amount of loan does not match with amount coming from lender, your HUD is not complete yet.
  3. Once your net amount matches, click on ”Open Ledger”’ under the Modules menu (all modules require a separate purchase and do not come with standard Easy HUD purchase).
  4. Review the “Transaction Summary” box to ensure that the closing is balanced.
  5. Make any necessary changes in transactions by double clicking on the transaction row. Common changes needed are:
    • Expanding or Correcting Payee Names
    • Adding more detailed Memo
    • Marking deposits/disbursements as Wire etc.
    • Changes made in the ledger will not affect your purchase/refinance forms.
  6. You may want to combine several checks going to the same payee and make it one check. Simply select all transactions that need to be combined, and click on “Combine.” Check the Payee Name and Save the new disbursement.
  7. You may also split a check into multiple checks
    • Simply select the check to be split and click on ”Split Check” button
    • Edit the first check’s amount and save
    • Then enter other check(s) for the remaining amount
  8. If at any time, you need to re-import the HUD transaction (e.g. HUD changed after you prepared the ledger), click on “Re-Import Ledger.” When you Re-Import Ledger, all changes made in the ledger will be lost and the ledger will be prepared from scratch.
  9. You can print checks within the ledger module. Simply select the check(s) to be printed and click on the ”Print Check” button. You will need to enter the starting check number and select the check type (only Easy Soft supplied checks are compatible with Easy HUD Ledger).
  10. Finally, always print ”Ledger Statement” and keep it in the closing file, which will keep a final tally of all deposits/disbursements for the closing.

How to Export Ledger to Easy Trust Program

You do not need to prepare the ledger to move your settlement transactions to Easy Trust. If you prepare ledger, that’s fine, but it’s not necessary.

  • Open the Easy Trust program
  • Login to your database
  • Click on ”Import Data” under the file menu
  • Select file type (Purchase or Refinance)
  • Select either a ”new’ ledger card” or ”existing” ledger card options. Very often, you may have already created a ledger card for this matter, when you received the initial deposit.
  • Once ledger card is selected or created, locate the Easy HUD file to be imported.
  • Review the deposits/disbursements being displayed before final import.
  • Click on “‘Next.” If no errors were discovered, your import will complete automatically. If errors are discovered (e.g. missing payee name, negative balance ledger card, previously used check number etc), the appropriate message will be displayed.

How to prepare 1099-S data

  • Once the HUD Settlement Statement is prepared, click on the 1099-S tab.
  • All pertinent information from HUD file will be imported into the 1099-S screen. You can make any required changes.
  • To re-import HUD information again, click on “Re-Import 1099” (all changes made in 1099-S screen will be lost and importation re-imported).
  • If there are multiple seller’s involved, click on “Add New Seller” and enter required data. Ensure that amounts for individual sellers are properly allocated.
  • Seller’s forwarding address is not available in the HUD file and needs to be entered in the 1099-S data.

How to prepare exemption form

  • In the 1099-S screen, click on “Print 1099-S Exemption Form”. Once the form is open, if you check ALL six boxes, then the 1099-S is not required to be submitted to IRS.
  • You can print this 1099-S exemption form, have it signed by the seller and keep it in the file. However, only at the request of a seller should the 1099 exemption (exclusion) form be used. The Settlement agent should not make that determination.

How to electronically submit 1099-S

  • In the 1099-S screen, click on “Submit 1099-S.”
  • Enter your User ID and Password provided by the electronic filing service from Easy Soft.
  • If form contains any missing information, an error will be displayed.
  • If submission is successful, the submitted form along with the confirmation number will be displayed.

How to prepare 1099-S Substitute Form (Seller’s Certification and 1099-S copy)

  • In the 1099-S screen, enter all required information.
  • Click on “Print 1099-S Substitute Form”

The 1099-Substitute Form can be used to collect the seller’s tax ID information as well as to provide a copy of the 1099-S for seller, but cannot be used to report 1099-S returns to IRS.

How to set my preferences

Review and set your preferences under “‘Default Settings”’ in “Tools” menu.

You can set check printing choices, backup reminders, and bank statement ending date option, if your bank statement does not close at the end of the month.

How to backup my Easy Trust Data

  • Click on “File”
  • Click on “Backup Trust Data”
  • Specify backup file name

It is highly recommended to backup trust data every day and keep it at a safe remote location.

How to close a ledger card

Once a ledger card balance is zero and all of its transactions are reconciled, you can mark that card “Inactive.” Making a card “Inactive” will prevent any accidental editing of the card. To make a ledger card inactive:

  • Select the ledger card
  • Click on “Edit” button
  • Check ”Ledger Card Inactive”

You can even mark multiple cards ‘inactive’ in one click. For this action:

  • Go to the “Bank” tab
  • Select the “Bank” tab
  • Click on “Edit” button 
  • Click “Close Ledger(s)”

How to view Inactivated Ledger Cards

In the “Ledger Card” tab change the ‘Show’ filter in the left panel. To reactivate any ledger card:

  • Select the card
  • Click on “Edit” button
  • Uncheck “Ledger Card Inactive”
